Student Policies and Guidelines

Scope

The purpose of this document is to establish appropriate policies and guidelines for delivering quality and meaningful Podcasts to Drake audiences via resources supported by Drake University and the Office of Information Technology. The policies and guidelines outlined in this document are intended for use by Drake students.

Rationale

Podcasting provides another way for students to enrich their educational experience, absorb or manipulate information and express themselves in new ways. Students can record podcasts as part of their coursework, enrich the campus environment with information about campus activities, engage in their own social networking and experiment with the possibilities of a new technology.

Policy Statement

Use of the podcasting service is to store and host student podcasting files on a server within the Drake network.

All podcasting activities must be consistent with the policies listed in the Drake Acceptable Computer Policy at http://www.drake.edu/dos/handbook/appendices/appendixc.php

All podcasts must reach the minimum technical standards in the Student Podcasting Procedures document.


Explanation and Definitions

  1. Podcasting is technology and processes that allows delivery of multimedia content to a user's computer, MP3 player or RSS feed.  RSS (Really Simple Syndication) is a format which provides frequent updates from (among other things) a podcasting server.
  2. A podcast is a multimedia file (audio, video, images and documents) that is made available to users over the network. 
  3. There are three types of podcast:
    1. An audio podcast consists of audio only.
    2. An enhanced podcast consists of audio and images with hyperlinks that allow the user to access a web site.
    3. A video podcast, also known as a vodcast, contains video as well as audio material.
  4. Publishing is the act of creating, editing, and uploading a podcast to a podcasting server.  The person who does this is called the Author/Publisher.  Several people could create the podcast (Author) while someone else acts as Publisher (doing the upload) .

Security

Publishers/authors may, at their discretion limit access to their Podcasts to specified people.  Otherwise, podcasts are open to anyone with a Drake ID.

Content

OIT does not monitor podcast content. If there is a complaint that a podcast breaches the Acceptable Use policy, OIT may remove a podcast temporarily while the complaint is investigated.  The investigation and subsequent actions will be conducted through the Dean of Students’ office using the student judicial system.

OIT may access files as necessary for system management purposes.

Storage

All recorded podcasts are stored on Drake University’s student podcasting server. If any particular podcast or account are occupying large amounts of storage, OIT reserves the right to request and/or remove  podcasts.

Backup and Archiving

OIT does not archive or backup files that are uploaded to the podcasting server. Archiving and/or backup of the publisher/authors’ original podcast content (raw data files) is the sole responsibility of the publisher/author.

Ownership

All rights to all podcasts and related materials are owned by the creator(s).

Expiration

All content on the Drake University Student Podcasting Server will be automatically removed on August 1 of each year. User accounts, material or media will not be retained from year to year. Publishers/authors should reload any podcasts which they wish to have available for the next semester after September 1.

Exceptions and Exclusions

Exceptions and exclusions to this policy will be decided on an individual basis by the Chief Information Officer in consultation with the Dean of Students.
